RFI – Request for Information

Keeping up with the status of “request for information” can be hard to manage at the best of times.  It is often reliant on emails which get lost over time.  Through our Site Diary overview section and switch view search function request management is so much easier.

Variation Management

One of the most important areas of contract management.  An area which often affects several areas and if managed incorrectly can cost you money or create a dispute.  We make variation management quick and simple, focusing on two ways to manage your variations:

  • Provisional Sum or Prime Cost Adjustments
    This uses the contract allocated value that is created with the project setup.  It enables all new scope adjustments to be created and the additional cost to the contract realised.  It is also flexible and includes ability for image attachments and more.
  • New Scope of Works Variation
    We manage this area in two ways. If it’s already contract scope, we can manage through the same task that’s already created. We can keep your original budget allowance separate from the new variation adjusted scope approved. A basic example of this is if it is a finish up-spec

If the scope does not exist and needs new works to the contract, PX360 gives you the ability to create a new task and track this separately. This gives you a complete ability to see how the variation is tracking from its own budget to spend perspective.  This is also a great tool for Cost Plus Contracts where the scope is added and it enables separate tracking without getting washed between the original contract scope.

Variations will only add to your budget once these have been approved.  Once approved it automatically moves the variation amounts into your budget.  No double handling and re-entering required. Quick and simple.

EOT - Extension of Time

Project time management is the other critical area of contract administration during a project.  PX360 takes your completion date and enables you to create multiple Extensions of Time quickly and easily.  Approve out of order, don’t worry our EOT’s will update automatically.  With our electronic signature contract administration, the clients always will have the ability to see the latest updated completion date prior to approval.  No double handing re-adjusting previous created EOT Templates.

Agenda / Meeting Minutes

Site meeting are always an important part of building and client relationships.  Tracking what is discussed is tedious and often missed.  We want you to feel in control with the ability to use meeting agendas to talk about what is important first.  Our smart Agendas & Meeting Minutes enables agendas to be used straight into your meeting minutes.  No formatting, it's just taking the required site minutes notes.  Add new items and attach pictures.  Quick and simple.

Work Order

  • Work Orders are a large part of PX360 and this contract admin template is the first part of an overall contractor/supplier section we include within PX360.
